Why it matters

The three places aren’t just folders — they behave differently:

Drawings

Splits a PDF into sheets, indexes sheet numbers, supports markup, tracks revisions.Put a spec book here and none of that works.

Specifications

Indexes sections, feeds submittals, answers questions.Put a drawing here and you get nothing useful.

Documents & Media

General storage: photos, contracts, permits, delivery tickets, closeout.No special behaviour, and that’s fine — most files don’t need any.

The edge cases people ask about

That belongs to a submittal — attach it to the submittal. → Creating a submittal
Attach it to the RFI response, where the question is. Copying it to Documents & Media as well is fine, but the RFI is the record.
On the ticket. → The six-step ticket
If it’s a drawing sheet, Drawings. If it’s spec text, it goes with the spec book. If you’re not sure, ask: do I want to mark it up and revision it, or search it by section?
